    The Field Office Finance Team Lead shall serve The Navigators and fulfill the responsibilities listed below in the spirit of The Navigators calling, values and purpose:  To advance the Gospel of Jesus and His kingdom into the nations through spiritual generations of laborers living and discipling among the lost.

     

    This position leads the team of Finance Administrators in the Field Office, ensuring quality personnel support for the field.  The team leader also performs finance tasks alongside the finance team members. 

    Responsibilities

    Leadership and Supervision (40%)

    • Manage performance of the finance team members
    • Set priorities for team members, and adjust priorities as necessary
    • Ensure professional development of team members
    • Have regular one-to-one meetings with team members to facilitate their effective personnel support of the field
    • Train new team members and current team members on all processes and procedures and on updates to processes and procedures
    • Participate in the annual Plan and Progress Review process for self-evaluation and for evaluations on all team members
    • Approve and/or correct team members timesheets on a weekly basis in Workday Time Tracking
    • Approve monthly expense reports for team members due by the 15th of each month

     

    Oversee Field Office Finance Function (20%)

    • Plan and monitor daily administration for the finance function to ensure productivity, correct priorities, and common approaches with processes and procedures
    • Ensure excellent customer service within the finance function
    • Negotiate and prioritize the support of field ministries when necessary
    • Ensure sufficient staffing to support field administrative needs and participate in hiring as needed
    • Utilize key metrics to identify and implement process improvements related to finance administration
    • Coordinate finance processes in line with the Financial Services Team
    • Identify and implement process improvements related to finance administration, including what responsibilities best fit in the Field Office and which best fit in the Financial Services Team
    • Review financial information and adjust operational budget to promote profitability and long-term financial health
    • Ensure legality and conformity to established regulations
    • Meet with other Field Office team leaders as necessary to partner together and resolve issues

     

    Financial Oversight and Operations (25%)

    • Ensure wise stewardship of funds in the Field Missions, Cities and Networks with clear financial practices in compliance to Navigator financial policies and procedures
    • Ensure accurate and timely financial reporting
    • Oversee and manage Field Assets and Field Cost Centers including National, regional and conference cost centers and, initiatives and investments
    • Monitor proper flow of funds in Field cost centers
    • Maintain Cost Center Hierarchy for field ministries in partnership with the Corporate Accounting department
    • Prepare and analyze monthly reports on field ministry Cost Centers to field leadership, Mission Directors and Field Operations Directors
    • Ensure clear communication on finances as needed through reporting, financial policies and procedures to field leadership, Mission Directors and Field Operations Directors and Field staff as needed
    • Manage Development Assisted Funds (DAF) for Missions to include summarizing financial plans from annual Mission planning process and provide quarterly reimbursement process requests for the field as needed
    • Maintain a thorough understanding of field budgets
    • Aid in creating annual administrative budgets for Mission’s admin cost centers
    • Complete supplier invoice fulfillment process for the field
    • Complete field journal and general ledger entries including wire transfers with all necessary documentation
    • Approve expense reports as a delegate for field Leadership as requested and assist field staff as needed in details of their monthly expense reports
    • Manage and administer the annual Kairos Fund process including preparing and communicating fund usage to field leadership
    • Provide subject matter expertise to answer financial questions from field leadership or staff by phone and email
    • Other financial requests or tasks as needed

     

    Additional Responsibilities (15%)

    • Maintain current Financial Policies and Procedures for missions, cities and networks
    • Maintain all financial files maintained - hardcopy and digital as needed
    • Proactively educate field Directors, field Administrators, Operations Directors, and field Staff on financial policies and procedures
    • Clear Communication with the office team, staff and public
    • Works closely with other departments within the US Headquarters (USHQ)
    • Participate in appropriate financial meetings for collaboration within the USHQ
    • Continue to develop expertise and skill in financial management
    • Keep current on all Navigator and IRS financial policies, regulations, and procedures for efficient and proper financial operations
    • Participate in the annual Plan and Progress Review process with direct supervisor
    • Submit hours worked and paid time off requests on a weekly basis per the Time Keeping Policy through Workday Time Tracking system
    • Leadership, Ministry and Spiritual development is encouraged as opportunities are available

    Qualifications

    ·         Belief in and adherence to the Statement of Faith and Mission of The Navigators

    ·         Bachelor’s degree or equivalent experience

    ·         3 years finance administration experience

    ·         Experience in supervising others is preferred

    ·         Must be able to manage the work of others

    ·         Aptitude to learn new software applications as necessary

    ·         Strong organizational and problem-solving skills

    ·         Must have exceptional customer service skills

    • Proven relational and collaborative skills within a team and cross-functionality with other teams
    • Self-motivated and can work independently
    • Excellent attention to detail
    • Ability to maintain discretion and confidentiality of information
    • Demonstrated experience to multitask and prioritize in a fast-paced and changing environment
    • Proficient in Microsoft Office applications; especially Excel and Word
    • Ability to work within Workday Financials
    • Detail oriented and able to manage projects to completion with wise and efficient use of time
    • Good relational and communication skills
    • Ability to work well in a team environment
    • Honesty, integrity and confidentiality in the handling of all finances
