    The Field Office Personnel Team Leader shall serve The Navigators and fulfill the responsibilities listed below in the spirit of The Navigators calling, values and purpose:  To advance the Gospel of Jesus and His kingdom into the nations through spiritual generations of laborers living and discipling among the lost.

     

    This position leads the team of personnel representatives in the Field Office, ensuring quality personnel support for the field.  The team leader also performs personnel tasks alongside the personnel team members. 

    Responsibilities

    Leadership and Supervision (40%)

    • Manage performance of the personnel team members
    • Set priorities for team members, and adjust priorities as necessary
    • Ensure professional development of team members
    • Have regular one-to-one meetings with team members to facilitate their effective personnel support of the field
    • Train new team members and current team members on all processes and procedures and on updates to processes and procedures
    • Participate in the annual Plan and Progress Review process for self-evaluation and for evaluations on all team members
    • Approve and/or correct team members timesheets on a weekly basis in Workday Time Tracking
    • Approve monthly expense reports for team members due by the 15th of each month

     

    Oversee Field Office Personnel Function (20%)

    • Plan and monitor daily administration for the personnel function to ensure productivity, correct priorities, and common approaches with processes and procedures
    • Ensure excellent customer service within the personnel function
    • Negotiate and prioritize the support of field ministries when necessary
    • Ensure sufficient staffing to support field administrative needs and participate in hiring as needed
    • Utilize key metrics to identify and implement process improvements related to personnel administration
    • Coordinate personnel processes in line with Human Resources
    • Identify and implement process improvements related to personnel administration, including what responsibilities best fit in the Field Office and which best fit in Human Resources
    • Review financial information and adjust operational budget to promote profitability and long-term financial health
    • Ensure legality and conformity to established regulations
    • Meet with other Field Office team leaders as necessary to partner together and resolve issues

    Field Personnel Representative (25%)

    • Manage sending, receiving and recording of documents needed from field staff

     

    • Manage sending, receiving and recording of forms and materials required from new staff applicants
    • Assemble and disseminate application documents to the appropriate people and in coordination with the Field Recruiting and Retention Partner when necessary
    • Ensure completion of necessary onboarding tasks by new staff
    • Attend meetings as requested to communicate and clarify personnel processes

     

     

    • Process staff hiring with HR on behalf of all new appointees 
    • Coordinate and conduct administrative training for newly appointed staff in cooperation with the appropriate HQ staff

     

     

    • Communicate regularly with staff leaders about new applicants – where they are in the process, needs, concerns, etc. 

     

    • Track, manage, and collect all required appointee documentation prior to them reporting to their assignment
    • Provide ongoing personnel support for staff once they have reported to their assignment
    • Create, distribute and collect profiles of ministry opportunities
    • Create, distribute and collect ministry interest surveys
    • Coordinate with Human Resources to provide personnel statistics and reports as needed

    Additional Responsibilities (10%)

    • Maintain regular communication with your supervisor for operational responsibilities and workload management
    • Attend personnel team and Field Office meetings for admin communication, development, cross training and support
    • Attend field meetings and events as appropriate
    • Submit and allocate ministry expenses to appropriate cost centers
    • Be familiar with and support field protocols as they relate to personnel topics
    • Complete additional job-related tasks as assigned

    • Pursue intimacy with Jesus in all things for the glory of God
    • Create annual goals and developmental objectives with input from your supervisor

    Qualifications

    ·         Belief in and adherence to the Statement of Faith and Mission of The Navigators

    ·         Bachelor’s degree or equivalent experience

    ·         3 years personnel administration experience

    ·         Experience in supervising others is preferred

    ·         Must be able to manage the work of others

    ·         Must have strong verbal and written communication skills

    ·         Microsoft Office Suite proficiency (40 to 45 wpm)

    ·         Aptitude to learn new software applications as necessary

    ·         Strong organizational and problem-solving skills

    ·         Must have exceptional customer service skills

    • Proven relational and collaborative skills within a team and cross-functionality with other teams
    • Self-motivated and can work independently
    • Excellent attention to detail
    • Ability to maintain discretion and confidentiality of information
    • Demonstrated experience to multitask and prioritize in a fast-paced and changing environment
