    The U.S. President’s Office Administrative Assistant shall serve The Navigators and fulfill the responsibilities listed below in the spirit of The Navigators calling, values and purpose:  To advance the Gospel of Jesus and His kingdom into the nations through spiritual generations of laborers living and discipling among the lost. 


    This position will perform a variety of highly responsible, confidential and complex administrative duties in the U.S. President’s office.


    Administrative Support                                                                                                                             40%

    • Make and confirm all travel arrangements for U.S. President
    • Prepare and maintain the U.S. President’s Office electronic, paper, and audiovisual filing systems
    • Prepare monthly donor reports and thank you notes
    • Manage, design, write and/or edit donor newsletters for the U.S. President
    • Maintain U.S. President donor address and telephone directory data base and execute donor work and mailings.
    • Review and coordinate documents and cards needing signatures in a timely manner

    National Leadership Team Support                                                                                                      20%

    • Provide support for National Leadership Team meetings and events including luncheons, offsites, retreats, birthday parties, event invitations, etc.
    • Maintain National Leadership Team organizational chart, contacts, and email lists.
    • Manage the NLT kitchenette space
    • Send funeral flowers on behalf of National Leadership Team to staff memorial services

    Financial/HR Responsibilities                                                                                                                 20%

    • Prepare and reconcile expense reports, personal reimbursements, and miscellaneous business bills for U.S. President and his spouse
    • Complete HR and financial Workday actions as needed for NLT members and U.S. President’s Office staff and their direct reports
    • Review and approve expense reports for US President’s direct reports as assigned

    Public Relations                                                                                                                                             5%

    • Represent the U.S. President to the public on the telephone, in written communications, and in person
    • Relate and interface with co-workers, Navigator staff, NLT members, major donors, Board members, other Christian leaders, and the general public
    • Promote a team atmosphere among support staff for the U.S. President and the National Leadership Team
    • Maintain daily office activities in the absence of the President

    Additional Responsibilities                                                                                                                      15%

    • Provide backup for the U.S. President’s office team members
    • Promote a professional office atmosphere
    • Conduct research as requested
    • Provide support for special projects as assigned
    • Provide support for events as assigned
    • Participate in the annual Plan and Progress Review process
    • Submit time worked and time off through Workday Time Tracking on a weekly basis
    • In coordination with your supervisor, design and participate professional development
    • Additional duties as assigned


    • Belief in and adherence to the Statement of Faith and Mission of The Navigators
    • Knowledge of and experience in The Navigators ministry
    • Bachelor’s degree in Business, or related field. Minimum combination of education and executive level support in the business sector required
    • Proficient in correspondence and communications
    • Proficient in use of a personal computer – performs basic computer applications including word processing a working knowledge of e-mail, Microsoft Word/ Excel/ PowerPoint
    • Excellent interpersonal skills; functions well in a team environment
    • Adept at organization – filing, prioritizing work assignments, scheduling meetings, making travel arrangements, and managing meeting logistic details
    • Excellent public relations skills – ability to meet and communicate with the public in person, by telephone, and written communications
    • Ability to take initiative, anticipate needs, and to work with minimal or no supervision; ability to manage sensitive information with the highest degree of confidentiality
    • Proficient in using routine office equipment – voice mail, copier, scanner, mp3 player, video conference equipment, CD/DVD duplication software
    • Must have sufficient knowledge of the organization’s structure, policies, and personnel
    • Ability to manage sensitive information with the highest degree of confidentiality
    • Ability to multi-task
    • Minimum typing skill of 60 wpm
