    The Day Camp on Location (DCOL) Administrative Coordinator shall serve the Eagle Lake Camps and fulfill the responsibilities listed below in the spirit of The Navigators calling, values and purpose: To advance the Gospel of Jesus and His Kingdom into the nations through spiritual generations of laborers living and discipling among the lost.

     

    The Administrative Coordinator will work closely with the Day Camp Regional Manager to care for Host Partner administrative needs while working alongside Eagle Lake’s administrative team to help manage the reception of all general Eagle Lake phone calls, emails, and customer inquiries.

    Responsibilities

    • Build relationships with DCOL Host Partners within region for the purpose of assisting and de-hassling them as they meet the administrative requirements (contracts, promotional materials, etc.) leading up to summer
    • Manage administrative tools and resources (Basecamp, Right Signature, etc.) used by Host Partners for the preparation of and implementation of camp
    • Implement and manage administrative processes related to camper enrollment including database configuration, scholarships, discounts, camp forms distribution and collection, store card deposits/refunds, friend requests, etc.
    • Implement and manage summer administrative processes related to camper check-in and check-out including same-day enrollment, registration balance collection, store card deposits, camp forms collection, medication administration, health history/allergies (including communicating information to staff), parent questionnaires, camper group assignments, pick-up authorization, marketing materials distribution to parents, etc.
    • Configure and link database events for DCOL Camps
    • Manage content of pages dedicated to DCOL Camps on Eagle Lake’s website
    • Train and supervise seasonal DCOL administrative staff
    • Manage supplies and inventory management system (for all supplies needed by On Location seasonal administrative staff)
    • Ensure accurate content and delivery of auto and scheduled parent emails
    • Manage Host Partner invoice and payments for specified region
    • Manage Host Partner agreements for specified region
    • Manage Host Partner certificates of insurances for specified region
    • Maintain accurate and up-to-date On Location SOP’s in compliance with organizational policies
    • Maintain systems and processes that are consistent across all regions and in compliance with organizational policies

     

    OTHER DUTIES AND RESPONSIBILITIES

    • Assist with development and implementation summer staff orientation and training schedule/content including PC Camp
    • Assist with summer staff hiring
    • Assist Eagle Lake Administrative team with various projects and tasks as needed

    Qualifications

    • Bachelor’s degree
    • Ability to lead/manage others

    • At least two years of administrative work
