Collegiate Finance Administrator

The Finance Administrator shall serve The Navigators and fulfill the responsibilities listed below in the spirit of The Navigators calling, values and purpose:  To advance the Gospel of Jesus and His kingdom into the nations through spiritual generations of laborers living and discipling among the lost. 


The Financial Administrator will provide financial oversight and administration to all collegiate financial systems, helping to ensure the accomplishment of the Collegiate Mission.


Financial Oversight

  • Ensure wise stewardship of funds with uncomplicated financial procedures
  • Ensure compliance to Navigator financial policies and procedures
  • Ensure financial reporting accuracy with financial reports
  • Oversee Collegiate assets and accounts
  • National accounts and initiatives 
  • Regional and conference accounts    
  • Investment accounts


Financial Operations

  • Manage Financial Accounts
  • Develop proficiency in Workday Financials software systems 
  • Monitor proper flow of funds through these accounts  
  • Maintain Financial accounts in the Workday system  
  • Create and distribute monthly reports on Administrative Accounts        
  • Ensure clear communication on financial status through reporting
  • Ensure clear communication on financial policies and procedures
  • Manage Development Assisted Funding     
  • Summarize financial goals from annual Mission plan       
  • Submit quarterly reimbursement requests
  • Financial Assistance
  • Understand budgets for Leadership & Field staff        
  • Provide assistance in creating annual administrative budgets  
  • Fulfill Supplier Invoice/Payment Request
  • Clear communication by email for clarity on request       
  • Gather needed documents (Invoice; W9; other) and submit the invoice fulfillment request
  • Journals/General Ledger 
  • Transfer entries with documentation
  • Expense Reports   
  • Assist staff as needed with details of their monthly expense reports   
  • Assist staff with organizational credit card issues
  • Available to answer financial questions from staff by phone and email
  • Other financial requests or tasks as needed
  • Ethnic Staff Funding (Kairos)    
  • Complete transfers to each staff or Project receiving Kairos Funds    
  • Create and maintain reports to monitor cash flow   
  • Usage Reports created and presented
  • Manage Collegiate Real Estate
  • Serve as point of contact for residents
  • Coordinate payment of utilities and property taxes
  • Summer Training Programs
  • Proactively educate STP directors and finance administrators on financial policies and procedures
  • Complete transfers and stipends for STP participants
  • Coordinate needed support with HQ departments


Office Expectations

  • Maintain clear communication with the office team, field staff and public
  • Work closely with other departments in the USHQ
  • Research issues related to financial tasks
  • Other duties as needed in the Collegiate Office
  • Participate in appropriate financial meetings for collaboration within USHQ


Professional Development

  • Keep current on all Navigator and IRS financial policies, regulations, and procedures for efficient and proper financial operation.
  • Continue to develop expertise and skill in financial management
  • Participate in personal and spiritual development with Collegiate Office team
  • Perform other duties as assigned.


  • Belief in and adherence to the Statement of Faith and Mission of The Navigators.
  • Bachelor Degree in Accounting/Finance or the equivalent work experience of at least two years
  • Proficient in Microsoft Office applications. Especially Excel and Word
  • Ability to work within Workday Financials and Workday HR
  • Detail oriented and able to manage projects to completion with wise and efficient use of time
  • Good relational and communication skills
  • Ability to work well in a team environment
  • Honesty and integrity in the handling of all Collegiate finances
