Part Time / On Call

 

The Department Assistant shall serve The Navigators and fulfill the responsibilities listed below in the spirit of The Navigators calling, values and purpose:  To advance the Gospel of Jesus and His kingdom into the nations through spiritual generations of laborers living and discipling among the lost. 

 

This position serves as an on-call employee to support Mail Service and Front Desk functions as needed. 

Responsibilities

Mail Service Responsibilities

  • Take direction from the Postal Clerk Specialist for all Mail Services tasks.
  • Receive, sort and deliver all incoming mail from the US Post Office, FedEx and UPS.
  • Prepare outgoing mail for pick up by US Post Office, FedEx and UPS.
  • Process outgoing mail through the postal meter.
  • Perform pickup and delivery of mail in the HQ Building.
  • Stay compliant with rules and regulations for the US Post Office, FedEx and UPS.
  • Administer bulk mailings.
  • When directed, be the main point of contact for all communication with vendors, contractors, the US Post Office, FedEx and UPS.
  • Perform Pickup and Delivery of mail in the HQ Building.
  • Perform other duties as assigned.

 

Front Desk Responsibilities

  • Take direction from the Facilities Administrative Supervisor for all Front Desk tasks.
  • Answer all inbound calls which may include multiple lines and extensions using professional etiquette.
  • Transfer and direct calls to the party the caller requests or determined where the caller should be directed, based on information about the purpose of the call.
  • Receive and relay messages as required.
  • Kindly and appropriately assist callers with questions.
  • Provide customers with information as requested and handle other directory assistance queries’.
  • Greet and register guests entering the building positively, warmly and using professional etiquette.
  • Monitor visitor and staff access and maintain security awareness and procedures.
  • Announce to the appropriate Navigator Staff when visitors arrive for appointments.
  • Direct persons to the correct destination in the building.
  • Maintain appointment schedule as necessary to perform professional reception duties.
  • Process large groups of guests for special events which includes badge name badge creating and printing.
  • Maintain high level of confidentiality and protect staff and guest personal information.
  • Provide an appropriately clean and neat work environment.
  • Perform duties as assigned by the company Emergency Operations Plan in the event of an emergency.
  • Perform other job-related duties as assigned.

Qualifications

  • Belief in and adherence to the Statement of Faith and the Mission of The Navigators.
  • Minimum High School Diploma or equivalent.
  • High character and integrity and reflect the love of Christ in interactions.
  • Knowledge of typing correspondences, reports and other documents.
  • High School Diploma or equivalent.
  • Prior mail services experience a plus.
  • Experience with a phone switchboard system a plus.
  • Proficient in using up to date versions of Microsoft applications such as Word, Excel, PowerPoint and Publisher.
  • Ability to perform routine tasks and repetitive tasks accurately and efficiently.
  • Ability to maintain records and files for accurate billing.
  • Ability to lift or move equipment/materials weighting up to 50 pounds without accommodations and willingness seek assistance on equipment/materials over 50 pounds.
  • Ability to pay close attention to detail with a high degree of accuracy.
  • Strong communications and interpersonal skills with the ability to provide customer service in a courteous manner to and work effectively with diverse groups of people at various levels within an organization.
  • Willingness to stay current with US Postal Regulations.
  • Able to communicate well face to face and telephonically.
  • Able to work well with others and demonstrate appropriate professional etiquette.
