Administrative Assistant III (US President's Office)

The Navigators U.S. President’s Office Administrative Assistant shall serve and shall fulfill the responsibilities listed below in the spirit of The Navigators Calling, Values and purpose: To advance the Gospel of Jesus and His Kingdom into the nations through spiritual generations of laborers living and discipling among the lost.      

This position will perform a variety of highly responsible, confidential and complex administrative duties. Work requires analysis and use of initiative and independent judgment with frequent access to confidential information.


Administrative Support for U.S. President and Associate U.S. Director                 40%

  • Make and confirm all travel arrangements for U.S. President Prepare and reconcile expense reports, personal reimbursements, and miscellaneous business bills for U.S. President and his spouse.
  • Assist the U.S. President in communications including blog posts, newsletters, letters, and other copy.
  • Maintain U.S. President address and telephone directory data base and execute donor work and mailings.
  • Assist in catering/ordering lunches for in-office meetings


Special Projects                                                                                                       30%

  • Provide support for projects and as assigned.
  • Provide support for meetings and events as assigned.


National Leadership Team Support                                                                        30%

  • Schedule, and organize meetings and retreats, both on and off site, for the National Leadership Team.
  • Provide support for National Leadership Team meetings including spouse travel, luncheons, etc.
  • Maintain National Leadership Team organizational chart, contacts, and email lists.


Finances and HR Support                                                                                        10%

  • Review and approve expense reports for US President’s direct reports as assigned.


  • Design and participate in your own professional networking and continuing education programs.


Public Relations                                                                                                         

  • Represent the U.S. President to the public – on the telephone, in written communications, and in person.
  • Relate and interface with co-workers, Navigator staff, donors, other Christian leaders, and the general public.
  • Promote a team atmosphere among support staff for the U.S. President and the National Leadership Team.
  • Maintain daily office activities in the absence of the President’s Executive Assistant.


Office Support Team                                                                                                              

  • Provide office coverage during business hours in coordination with others on the team
  • Promote professional office atmosphere.
  • Assist in projects as needed.
  • Provide backup for the U.S. President support team members
  • Stock kitchenette in US President’s area
  • Additional duties as assigned


  • Belief in and adherence to the Statement of Faith and mission of The Navigators; knowledge of and experience in The Navigators ministry.
  • Typically requires Bachelor’s degree in Business, HR or related field. Minimum combination of education and executive level support in the business sector required
  • Proficient in correspondence and communications – review and summarize daily mail; maintain suspense tracking system of all action items; demonstrate superb editing, creative writing, proofreading, and spelling, grammar, and dictation skills.
  • Proficient in use of a personal computer – performs basic computer applications including word processing a working knowledge of e-mail, Microsoft Word/ Excel/ PowerPoint.
  • Possesses considerable judgement, analysis and initiative to resolve problems and make recommendations.
  • Excellent interpersonal skills; functions well in a team environment.
  • Adept at organization – filing, prioritizing work assignments, scheduling meetings, making travel arrangements, and managing meeting logistic details.
  • Excellent public relations skills – ability to meet and communicate with the public in person, by telephone, and written communications.
  • Ability to take initiative, anticipate needs, and to work with minimal or no supervision; ability to manage sensitive information with the highest degree of confidentiality.
  • Proficient in using routine office equipment – voice mail, copier, fax machine, scanner, mp3 player, and CD/DVD duplication software
  • Must have sufficient knowledge of the organization’s structure, policies, and personnel.
  • Ability to manage sensitive information with the highest degree of confidentiality.
  • Ability to multi-task.
  • Minimum typing skill of 60 wpm.

Minimum education/experience: high school diploma and background in business, administrative, and executive secretarial skills.
