Overview

PART-TIME 

The F&B Administrative Assistant shall serve the Glen Eyrie Group (GEG) and fulfill the responsibilities listed below in the spirit of The Navigators calling, values and purpose: To advance the Gospel of Jesus and His Kingdom into the nations through spiritual generations of laborers living and discipling among the lost.

 

This position performs a broad range of administrative duties to support both the Director of Food & Beverage (F&B) as well as the F&B department.

Responsibilities

Financial Responsibilities

  • Track, prepare and submit expense reports and P-card purchases in Workday for department cost center(s)
  • Use Workday to manage suppliers and suppliers’ invoices: reconcile and pay invoices
  • Maintain and organize all financial records for the department, including electronic and paper filing
  • Provide administrative support in inventory control
  • Order food and supplies from various vendors, track and identify preferred cost and quality
  • Calculate food costing of menus using Excel

 

Personnel Support

  • Track departmental timekeeping in StratusTime, including regular hours and overtime
  • Assist in job descriptions and training documentation for new and current hires
  • Serve as contact person for various members serving the F&B department
  • Assist in onboarding new staff and scheduling meetings for new hires
  • Assist in Meals Report and follow up with breaks, meals and venue

 

Additional Responsibilities

  • Identify maintenance requirements of Food and Beverage equipment, create maintenance log and follow up work orders to ensure timely and proactive maintenance of equipment
  • Liaison with Sales and Planning department
  • Perform other duties related to administrative tasks in the F&B department

Qualifications

  • Committed Christian with a belief in and adherence to the Statement of Faith and Mission of The Navigators
  • 1 or 2 years of experience in a general office as a professional
  • Proficient in Microsoft Office applications
  • Some college education, degree preferred
  • Good verbal communication and people skills
  • Comfortable with working environment that may have frequent interruptions
  • Take initiative for improvement of self and department
  • Enjoy challenge of multitasking. Able to juggle several projects at a time.
  • Detail oriented. Enjoy managing and organizing detailed work in a way that brings order and efficiency
  • Can work independently with not a lot of supervision
