Overview

The Administrative Coordinator shall serve the Eagle Lake Camps and fulfill the responsibilities listed below in the spirit of The Navigators calling, values and purpose: To advance the Gospel of Jesus and His Kingdom into the nations through spiritual generations of laborers living and discipling among the lost.

 

This position is responsible for leading the administrative element of Eagle Lake’s Day Camp On Location Camps, while working alongside Eagle Lake’s administrative team to help manage the reception of all Eagle Lake phone calls, emails, and customer inquiries.

Responsibilities

  • Develop, implement, and manage administrative processes related to camper enrollment including scholarships, camp forms distribution and collection, store card deposits/refunds, friend requests, etc.
  • Develop, implement and manage administrative processes related to camper check-in and check-out including same-day enrollment, registration balances, store card deposits, camp forms, medication administration, health history/allergies (including communicating information to staff), photo IDs, parent questionnaires, camper group assignments, pick-up authorization, marketing materials distribution to parents, etc.
  • Configure and link database events for Day Camp On Location Camps
  • Manage content of pages dedicated to Day Camp On Location Camps on Eagle Lake’s website
  • Develop/update camper forms required for camp attendance
  • Train and supervise summer Day Camp On Location administrative staff (including GE and PC staff)
  • Manage supplies/inventory management system (for all supplies needed by On Location Friend PCs)
  • Supervise Host Home assignments and communication
  • Supervise auto and scheduled parent emails
  • Manage Host Partner invoice and payments
  • Manage Host Partner agreements
  • Manage Host Partner certificates of insurances
  • Supervise communication process with host partners, including but not limited to:

o   Weekly enrollment and scholarship updates

  • Maintain accurate and up-to-date On Location SOP’s in compliance with organizational policies, CDHS license requirements, and ACA standards (oversee production and distribution of manuals)

 

OTHER DUTIES AND RESPONSIBILITIES

 

  • Assist with development and implementation summer staff orientation and training schedule/content including PC Camp
  • Assist with summer staff hiring
  • Assist Eagle Lake Admin Team with various projects and tasks as needed

Qualifications

  • Belief in and adherence to the Statement of Faith and Mission of The Navigators.
  • A bachelor’s degree in applicable field
  • Ability to lead/manage others
  • Ability to problem solve quickly and efficiently
  • At least two years of administrative work
  • Familiar with office functions and management
  • Advanced knowledge of computer systems and networks
