Overview

The Executive Assistant to the Lifelong Laborers Field Director shall serve The Navigators and fulfill the responsibilities listed below in the spirit of The Navigators calling, values and purpose:  To advance the Gospel of Jesus and His kingdom into the nations through spiritual generations of laborers living and discipling among the lost. 

 

This position will perform a variety of highly responsible, confidential and complex administrative duties. This position requires analysis, research, initiative, independent judgment, and exceptional professional discretion with access and administration of confidential information.  The Executive Assistant will possess the ability to take initiative and anticipate the Lifelong Laborers Field Director’s needs on a daily requirement basis.  This position will require the ability to work independently without much supervision.

Responsibilities

  • Possess the ability to take initiative and anticipate the US Nations Field Director’s needs on a daily requirement basis.   
  • Prepare and edit documents created in Microsoft Suite (Word, Excel, PowerPoint) and Mac Office equivalent programs.
  • Manage Director’s email account and all associated mailing lists.  Strong writing skills required for both oral and written communication (i.e. writing/completion to final copy from notes, editing, proofreading, spelling and grammar).
  • Coordinate, manage and track multiple small projects along with routine work.
  • Prepare, create and revise communication information to include interoffice emails, memos and correspondence.
  • Develop and produce support materials to include handouts, PowerPoint presentations and occasional research for speaking and writing opportunities for the US Field Director.
  • Maintain, manage and update US Field Director’s schedule, keeping it current with all scheduled functions, including the NLT Calendar of events and all outside events.
  • Coordinate, schedule and host meetings and events for the US Field Director and his team.
  • Perform administrative support functions to include:
    • Coordinate all travel and logistics for US Field Director and his team
    • Complete and submit monthly expense reports for the US Nations Field Director. 
    • Prepare and distribute meeting notes and agendas to all involved parties. 
    • Prepare and edit documents created in Microsoft Suite (Word, Excel, PowerPoint).
  • Maintain a professional office environment as demonstrated by:
    • Excellent representation of the NLT and Field Director Team to the public as well as Navigator staff and other Christian leaders through all communication means. 
    • Strong organizational and interpersonal skills coupled with the ability to function well in both a team environment and independently.     
    • Excellent relational skills and the ability to remain flexible in a rapidly growing, complex and dynamic environment. 
    • Complete discretion with confidential information and independent judgment with respect to matters of significance.
  • Availability to travel one to two times per year required. 
  • Maintain required balance of screening visitors, phone calls; route calls or answer questions and handle general problems as appropriate.
  • Develop a relationship with and help support the Field Director Team in areas requested (i.e. administrative support to include meeting and event scheduling). 
  • Complete special projects and other duties as assigned.               

Qualifications

  • Belief in and adherence to the Statement of Faith and Mission of The Navigators.
  • Bachelor’s Degree in Business or equivalent combination of education and executive level support in the business sector required.
  • Excellent communication and leadership skills, as well as strong multi-cultural and interpersonal skills.
  • Organizational and interpersonal skills coupled with the ability to function well in both a team environment and independently are needed.
